An Admin user in SELMA is anyone who uses the system in a professional capacity, including teachers, administrators, registrars, finance staff, and management. Essentially, any user who is not a student is counted as an Admin user. This includes staff who only need limited access, such as teachers who just use the system to mark attendance and enter grades, as well as power users who configure the entire system. Each SELMA plan includes unlimited Admin users, and you can add more as your team grows.
Students in SELMA are counted as unique individuals per subscription year. A student is counted once toward that year's total the first time they enrol, no matter how many separate enrolments or courses they start within the same year. For example, a student who enrols in January 2025 and again in September 2025 still counts as one student for 2025. If that student's enrolment carries over into the next subscription year, they're counted again in that new year. This annual counting method ensures fair billing and lets you accurately plan capacity as your institution grows.
A student is only counted again in a later subscription year if a single enrolment's total duration is genuinely long, not just because it happens to cross your renewal date. For example, a 9-month programme starting near your renewal date is only counted once, since its duration is under 12 months. An 18-month enrolment is counted twice in total, and a 30-month enrolment is counted three times, one count for each additional 12-month period the enrolment runs for.
You can upgrade your SELMA plan at any time to access additional features or capacity. For downgrades, changes take effect at your next plan renewal (typically annual or term-based). If your student numbers exceed your current plan limits, SELMA may automatically upgrade your plan to ensure uninterrupted service and compliance with your subscription terms. Yes. SELMA's implementation team handles data migration from all major student management platforms including Wisenet, VETtrak, aXcelerate, and others. Your student records, enrolment history, compliance data, and financial records are migrated with rigorous accuracy as part of your onboarding. Most organisations complete the full migration within 4 to 6 weeks including data migration, system configuration, and staff training. SELMA includes a convenient dashboard widget that displays your current usage metrics at a glance. You can view your storage consumption, total student count, and active user count directly from your dashboard. This real-time visibility helps you monitor your subscription limits and plan for growth. If you're approaching your plan limits, the dashboard will alert you, giving you time to adjust your subscription before any automatic upgrades occur. Admin users can access these usage statistics anytime from the main dashboard.

A short term student (one studying for less than 60 days, or less than 80 hours of formal training) is counted as 0.5 of a full time student, but only if that's their only enrolment in the subscription year. If they enrol a second time in the same year, for any course, they're counted as a full time student (1.0) for that year, and any further enrolments that year are included at no extra cost.
