How are enrolments counted in SELMA?

The monthly cost is based on the number of enrolments you process or expect to process per year in SELMA. An enrolment is counted when a student is enrolled in an intake. If a student enrols in two different programmes (courses, qualifications), this is counted as two enrolments—even if the student is studying both programmes at the same time.

The following enrolments are excluded from the count:
  • Deleted enrolments
  • Waitlisted enrolments
  • Enrolments cancelled within 10 days of the enrolment start date

Can enrolments be removed after completion to lower costs?

No. A fair use policy applies, meaning enrolments cannot be deleted or cancelled after completion to reduce the enrolment count.

How are deferred or on-hold enrolments counted?

  • If a deferred, on-hold, or grace period enrolment is reactivated, it is counted as one enrolment.
  • If a student withdraws after deferral and a new enrolment is created upon their return, the new enrolment is counted separately.

How and when are enrolment-based fees reviewed?

Your monthly fees are assessed annually but may also be reviewed at any time if you reach the total enrolment threshold set by your plan.

How does SELMA estimate enrolments for new customers?

  • If you are new to SELMA, we estimate your enrolment count based on your past 12 months of data.
  • If you are a new school without a student information system, you can start on the lowest plan, with fees adjusted as enrolments grow.

How are short-term students counted?

Enrolments with a period of less than 2 months or under 80 hours of formal training are classified as Short Term Students and counted as 0.33 in the Account Size calculation.

Can monthly fees be adjusted if enrolment numbers drop?

Yes. If your enrolments are lower than expected, you may request a fee reduction in writing, and SELMA will not unreasonably withhold approval.

How are enrolments counted on the SWIFT plan?

he SWIFT plan follows the same enrolment counting rules as outlined above. However, there are a few key differences:

  • Not Available for Funded Providers – SWIFT is only available to providers that do not receive government funding.
  • Per-Enrolment Pricing – Instead of a fixed monthly fee, enrolments are charged at a rate of AUD 2–3 per enrolment, billed monthly in arrears.

This means you are only charged for the actual enrolments processed in a given month, rather than committing to a set enrolment threshold.
