Work Placement Management for Vocational Training Providers and Higher Education
Stop tracking who's placed where in a spreadsheet nobody trusts

Employer and Job Position Management
- Capacity is live: staff see at a glance how many slots are filled, how many remain, and when the next slot opens based on current placement end dates
- Adjust capacity directly from the organisation screen with a single click, or set a position to unlimited if there's no cap to manage
- Job positions can't be deleted while any placement references them, so your placement history is always protected

A Placement Record for Every Detail That Matters
- Create a placement from the student's profile, the employer's organisation screen, or a dedicated placement screen, with context pre-filled to save re-entry
- Optional fields cover expected hours, hourly pay, subsidy requirements, source of vacancy, and notes, so nothing gets tracked in a side document
- Overbooking prevention disables any job position already at capacity, so staff can never accidentally over-allocate a full role
Statuses and Classifications That Match How You Work
- Only Active placements count toward employer capacity, so your numbers always reflect who's actually on-site
- The system blocks staff from activating a new placement against a role that's already full
- Every lookup value, from placement type to industry classification, is configurable per account, with no code changes required

Hours Tracking, With Timesheet Approval on the Way
- Both recorded and estimated hours sit on the placement record for easy comparison and reporting
- The underlying framework for in-app timesheet submission and supervisor approval is already built into the platform
- A dedicated interface for students or supervisors to submit and approve worked hours directly in SELMA is on our roadmap
Documents, Communication, and a Full Audit Trail
- Merge fields automatically pull in the student's name, employer, job position, supervisor, dates, and status, so there's no manual copy-paste
- Every email sent is logged against the placement's communication history
- A full event log, tags, custom fields, and alerts keep every placement auditable and easy to find

Frequently Asked Questions
SELMA's Placement module manages the full lifecycle of student work placements, internships, and practicums, connecting students to host employers, tracking placement details, and linking everything back to the student's enrolment record, all within one platform.
Many qualifications require students to complete a practical, hands-on component before they can graduate, not just classroom or theory hours. A counselling student might need a set number of supervised client hours; a hairdressing student might need to complete a defined number of hours on the floor of a salon. These practical hours are usually a formal requirement of the qualification itself, meaning they need to be tracked, evidenced, and reportable, not just noted informally.
This is where the Placement module goes beyond a simple employer directory. Because a placement can be tied directly to a specific enrolment, the practical component becomes part of the student's formal training record rather than a disconnected side process managed in a spreadsheet or a folder of paper sign-off forms. The employer, job position, supervisor, dates, hours, and status all sit against the same enrolment the student is completing, so compliance and academic staff can see, in one place, whether a student has met the practical requirement needed to complete their qualification, alongside their assessments and other enrolment data.
This matters most for institutions where practical hours are audited by a regulator or a professional body, since the placement record, its documents, its communication history, and its audit trail together form the evidence trail: who supervised the student, where, for how long, and under what status. Rather than reconciling a separate placement spreadsheet against enrolment records at audit time, everything is already linked and reportable from a single system.
It's designed for vocational training providers, polytechnics, and any institution that coordinates work-based learning components itself and needs a structured, auditable record of who is placed where, in what role, and for how long.
Host employers are set up as Organisations with one or more Job Positions, each with a maximum capacity. SELMA tracks filled and remaining slots live, and disables any position already at capacity in the placement form, preventing accidental over-allocation.
Yes. A placement can optionally be tied to a specific enrolment, so it becomes part of the student's formal training record rather than a standalone entry.
Required fields include the student, job position, placement type, employment type, and start and end dates. Optional fields cover industry type, expected hours, hourly pay, subsidy requirements, source of vacancy, and notes.
Expected hours can be recorded manually or estimated automatically from weekly hours and placement duration. A full in-app timesheet submission and approval workflow, where students or supervisors log hours directly, is built on the same underlying framework and is on our roadmap, with a dedicated interface coming soon.
Yes. Placement agreements, health and safety checklists, supervisor sign-off forms, and any other paperwork can be uploaded directly to the placement record and accessed from its Documents tab.
Yes. Emails can be sent directly from a placement record using templates with placement-specific merge fields, and every email sent is logged in the placement's communication history.
Placements ship with four default statuses, Pending, Active, Completed, and Inactive, all configurable, with only Active placements counting toward an employer's capacity.
Yes. The placement index gives a real-time count of placements by status, and placement data is available in SELMA's Report Builder, filterable by status, type, industry, employer, dates, and any custom fields.
Placements transfer correctly if duplicate student records are merged, and placements attached to a removed enrolment are handled without leaving orphaned records.
